JULY MEETING MINUTES

Tonight’s meeting focused almost exclusively on Parrotphest 2010

• All members are encouraged to get involved with selling tickets and to use their
contacts and get items for the raffle table
• The group brainstormed for a while about who can be contacted and what we
can ask for
• Captain Dave to produce a letter asking for donations/sponsorship, and send to all
members by week’s end
• Captain Dave related the information gathered from Bob Foster about the Oktoberfest
Lottery – if we are to participate in selling these tickets, the club will receive $1 from
every $5 ticket sold. This money can be used in any fashion the club would like
• The group has agreed that selling the tickets is a good idea – by selling the
tickets we are raising funds which will support our outreach, and at the same
time we help the community by raising funds for the Oktoberfest lottery
• Operational details:
• Captain Dave indicated that at the August meeting we would ask members
to volunteer for some tasks at the event itself, so that the work can
be shared. He would like it if all members took their turn, so everyone can
work a short shift and enjoy themselves at the event
• We will structure the event similar to our original Parrotphest:
• Deck of cards raffle – we will find two ‘big’ ticket items, and sell
cards as a ticket for $10 each
• Raffle ticket sales – our goal is to obtain at least two dozen items
for the raffle. As with last Parrotphest, we will having ‘roving’ sales
types, who will sell ‘half a wing’ of tickets for $5.00, and a ‘full wing’
for $10. Guests who purchase tickets can then decide which items
on the prize table they would like to try to win
• We will NOT be trying to get folks to take pictures with the beach outline, as
this was considered too much work for the return. Additionally the venue for
this year’s event is not close by a 1-hour photo.

Financial Report - April balance was $881.08. Dave still needs to be added as a signature to the
bank documents. The audit still needs to be done.

Mid-year report is due July 31st. Dave to draft.

ParrotPhest
• 120 tickets to sell.
• Surrounding clubs (Niagara, London, Hamilton, Toronto, Sarnia, etc.) to be notified that tickets
are available.
• Kelly to ask about additional room at the venue.
• Lee will talk to Bonnie at the CHS to see if she is able to help promote the event.

Executive Meeting – April 12/10

ParrotPhest: Possible Locations and Details

• Golf Dome – Dave and Char met with the manager and owner. If we rent the Golf Dome we would have to rent the tables, port-o-potties linens, silverware, etc.

• Kelly looked into renting the Grand Valley Golf Club. $10 p.p. for buffet. Date: Friday, Sept. 24th. Bar – we can up charge n the drinks. Maximum occupancy is 100. Lee to check and see if KD Moore is available on Friday.

• Schwaben Club – Bob checked into rental. Can up charge for drinks. Cost of the hall is $904 if not serving food. With food the cost would be $536.

• The Executive decided to pursue Grand Valley if KD Moore is available.

• Oktoberfest lottery – it was decided to sell Oktoberfest tickets at ParrotPhest.

Margaritaville Niagara Falls – Grand Opening
Executive agreed to send a club t-shirt to Mary of the Hamilton Club. Mary is collecting club t-shirts to forward to the Niagara Falls Margaritaville.

Administrative Details
Club bank signing needs to be redone to reflect new executive.

2009 audit will be done by Mike and Lee on Sunday, April 18th.

Website and Communications
Facebook – new page set up. needs to be refreshed with new content at least weekly.

It was agreed that business cards to promote the club was a good idea. Kelly and Jane will both check into pricing.

Lu-Ann will advertise our next meeting on Kijiji and Craig’s List.

Club Update and General Meeting

Club is checking into Grand Valley for Sept. 24th to hold ParrotPhest. Golf Dome would be a lot more work and quite a bit more expensive.

May 15th – Patti and Dennis to host a wine tasting. Bring a cheap bottle of wine and a munchie. Event to start around 7:00 p. m.

Roadside Cleanup – April 24th followed by a BBQ at Lee and Lu-Ann’s.

June 22nd – Tailgating at the Detroit concert.

Saturday, October 23rd. Club fundraiser at Dickson Bowl.

New club Facebook page. Send vacation photos to Mike for the site.

Margaritaville Niagara Falls set to open May 25th.

$55 raised from the draw. Theresa won the t-shirt – John won the KD Moore CD.

1. Welcome to all.
1. Draw for a “Taste of the tropics” – Bottles of Lulu Buffett’s “Saucy Salsa” prepared from a recipe in her “Crazy Sista” cookbook. Congratulations to winners Myra, Bob, Patti, Sarah, and Kelly.

1. New business

Change to Executive – Change # 1 – Charlene will assume the role of “Past President and Founder”. Charlene volunteered for the role of “Director of Phun” for the duration of the term. In this role Charlene will assist with organizing club activities. Thank you to Charlene for founding the club, and bringing us to this point. Change #2 – A member has volunteered to assume the role of Club Captain. At a recent Executive meeting, the offer was discussed and we’re pleased to announce the appointment of Dave Kains as our new Club President for the duration of the term.

1. Where do we go from here…
1. New website: Mike reported on our new site. Site is up and running (www.parrotsonthegrand.com). New look, along with more flexibility. The new site has an RSS feed, so be sure to sign up to be notified of new postings. The site will be more interactive. If you have something to add on the site, please use the link to submit new content to Mike.
2. New location: We’re checking out new meeting locations. Tonight’s meeting was at the Williamsburg Arms Pub, where we had a private room. The group enjoyed the location and we will book it for the April meeting.
3. New club name: While we’d like to keep “Parrots on the Grand” as our tag line, it was proposed that we change the club name to better reflect not only our physical location, but to also clarify that we are not a “parrot” club, but rather a “Parrothead” club. A motion was put forth to change the club name to “Waterloo Region Parrotheads”. The motion was seconded, and passed.
4. New meeting format: In the interest of minimizing the business portion of our meetings, and leaving more time for socializing and fun, the Executive will meet from 6:00-6:30 p.m. The Club meeting will begin at 6:30 with a quick 15 minute recap of the executive meeting, and then on to fun! Any member that would like to attend the Executive meeting is welcome to do so.
5. Vacant Executive Position – The position of Vice President is currently vacant. The floor was opened for nominations. Kelly Dobos was nominated, and accepted the position. Welcome to the Executive Kelly!
6. ParrotPhest: For the Club to break even hosting Parrotphest at the Edelweiss, we’d have to sell 195 tickets. If we go elsewhere and we can get a cut of the bar (at $1.50 per drink), we’d only have to sell 145 tickets to break even. Club members offered to check on local venues and bring the information to the April meeting. Local venues suggested included: Club Willowells, Police Association, and Knights of Columbus. If members know of any other locations, please call the venues for information. Questions to ask include: Is the facility available on September 25th; can we get a special occasion permit and receive a cut of the bar; do you have a designated caterer, or can we provide our own food; what is the capacity of the hall; what is the rental fee.

Entertainment: Charlene to check with Wendall about the steel drum band – need to make it clear that we are not committing to them, but want to know the cost to “open” the event. Lee will check with KD Moore on pricing and availability.

1. Social Events

The name of the game is fun! Small group discussions took place about possible future social events. Lots of great new ideas were generated by members. Events don’t have to cost a lot, or be big and splashy – whether we get 4 or 24 people out to an event – the event will still be fun! If the events are fun – word will spread and participation will grow.

Your event – your rules! The host of the event gets to set the rules, i.e. members only, bring a friend, time, potluck or otherwise, etc.

If you’d like to host one of the events below, or if you have an idea of your own, contact one of the Executive and let us know. If you’d like some help with event, we’re there for you.

Event ideas:

“Ticketless Tailgating Party” – members go the Detroit concert on June 22nd. We have an awesome tailgate party, buy a little swag at the booth Jimmy sets up in the parking lot, then we sit in the parking lot as a group and enjoy the concert – all without the paying the price of a ticket!

Night at the Races – Members meet at Mohawk Raceway and Slots for a little food and gaming.

Beer/wine tasting evening – Members meet at someone’s home and bring either a bottle of wine, or six beer, along with an edible item they feel pairs well with the wine/beer they bring.

Beer/wine blind taste test evening – Members meet at someone’s home and bring either a bottle of wine or six beer. The drinks should be in wrappers so no one knows what the brand is. Everyone gets a small taste and votes on their favourite.

King/Queen of the Grill contest – Four or five gentlemen/ladies prepare small slider burgers using their favourite recipe and topped with their favourite items. Members sample each of the burger offerings, and one of the contestants is crowned “King of the Grill” and wins a Margaritaville apron.

Chili or Gumbo Cook-off –Four or five club members prepare a pot of chilli or gumbo. Members sample each of the offerings and the winner wins a little something.

Roadside cleanup followed by a barbeque at a member’s home. No, we’re not planning to grill whatever we find on the roadside!

Games Night – Members meet at someone’s home to play a board game or a card game.

Community Garage Sale Day – When one of our communities holds a “Garage Sale Day”, members meet at someone’s home with items for the sale. A little money is raised for the member and a little money is donated to our charity.

Ladies Shopping Trip – Road trip to Buffalo to scope out those shopping bargains! Fellas – you can join the ladies, or you can gather at the Anchor Bar – watch some sports and enjoy those world famous Anchor Bar Wings.

Road trip to Niagara Falls Margaritaville – Members can meet at NFM for an afternoon get-together, or travel down via the Niagara Casino Bus.

“Dine With Me” event – For those of you who’ve seen the show “Dine With Me” no explanation is necessary. For those of you who haven’t, four couples each host a dinner party for the others. The couples are rated on their food and hosting abilities. Winner wins a prize. Losers still enjoy some great dinners!

An afternoon of horseshoes – Got a horseshoe pit? Then you’ve got all you need to host this event!

Backyard tailgate party – Tune in one of Jimmy’s concerts on Sirius satellite and have a backyard tailgate party. Members bring pot luck items.

The Club has said they’d like meetings to be less business and more social, so members suggested a few ways to have fun at meetings:

Theme nights:

* Island theme – limbo contest, island music, swap favourite “boat drink recipes”, etc.
* Travel theme – Florida night – been to Florida? Then bring a few of your favourite photos, travel tips, etc., and share your “tales from the tropics”!
* You’ve got the cutest little baby face – bring a photo of yourself as a baby – we’ll have a contest to guess who’s who.

If you have any more ideas – let’s hear them! If you’d like to help organize the “fun” portion of the meeting one month, let us know that too!

1. Fundraising
1. Bob suggested the Club may want to pursue selling tickets for the “Uncle Hans” KW Oktoberfest Lottery. Forty per cent of the proceeds from the tickets sold, go back to the selling group. Tickets cost $5.00 each. The group will vote on this suggestion at the April meeting.
2. Raffle: Tonight’s raffle raised $47.00. Kelly won first prize (a t-shirt brought back by Paul and Myra from their Florida vacation) and Paul and Myra won second prize – candles and a koozie!

New Business

Reminder that membership dues are due.

PHIP has received our cheque.  We are once again an “official” club.

Glenn and Theresa Grabe have resigned from the executive.

Executive positions currently available are:  V.P. /Events Coordinator/Membership Director.  Thank you to Jane Kains for offering to fill the position of Membership Director – welcome to the executive Jane.

Club membership and participation is down.  We need to find out why.  Dave Kains volunteered to put out a survey to the members asking what they like/don’t like about the club, why they are not attending meetings, how we can improve, etc.

Char received a thank you note from one of the troops we sent a Christmas box to.

ParrotPhest update from Dave Kains:

It is time to begin planning.

Cambridge Humane Society will be our charity for the event.

Should we consider another venue (e.g. Knights of Columbus) that will allow us a cut of the bar?  Paul South will explore alternate locations and report back at the March meeting.

Brian Neal and Rocky are willing to come back but want $750 plus hotel, plus bar.  Given the huge price increase, we will also explore alternative entertainment.

Trop rock entertainer Jim Morris will be doing a house concert tour this summer.  If any member would like to host a backyard club event, please connect with Charlene for details of Jim’s tour.

Tonight’s raffle prize was a Canadian Navy golf shirt.  Sheldon/Pam won the raffle.

$35.00 was raised from the raffle.

New Business
• Website transition: Mike reports that the website transition is going well. It is currently
in the testing phase. The new website should offer more functionality and will include
a “submit your suggestions” feature. Milke is in the process of building a page for
ParrotPhest,
• The position of Club VP is currently vacant. If you would like to be considered for this
position, please contact Capt. Charlene and indicate your interest.
• Seems that a number of clubs are experiencing some membership issues. Common
themes seem to be that only a few members carry the whole load; members want
more social events, etc. Dan, Co-Chair of the received an anonymous letter to this
effect. Parrots on the Grand would like to address any members concerns, and encourages
members to let the club executive know what theyʼre looking for in a club.
• The suggestion was raised that each year, in addition to our core charities, we select
one other charity to support for the balance of the year by allocating one-quarter of the
money we raise toward that charity. Members will be asked to submit charities for
consideration at the beginning of the year, and the winning charity will be selected
through a random draw process.
• The club needs to consider ways to increase membership. Among the suggestions
was to put our meeting notices in the “Events” section of community papers, advertise
the meetings on Kijiji, post flyers in local supermarkets and community centres.

Treasurerʼs Report

Patti was not at the meeting so we have no Treasurerʼs Report.

Club Events
• Hamilton A1-Eh is hosting CANUSA again this year. The date is Feb. 13 and 14th.
The cost is $25 per person. Entertainment will include Caribbean II and Tropical
Daze. The name of this yearʼs bash is “North of the Border Disorder”.
• The Sarnia club will again host “Phlock to the Dock” on June 25 and 26. Entertainment
will include K.D. Moore, and Caribbean Blue.
• Weʼre looking for a member to host a small club event for a house party this summer.
Could be simply a gathering of club members to socialize, or it could be members,
plus an entertainer. If youʼre interested in hosting a club function, please let one of the
executive know.
• Charlene will explore co-selling 50/50 tickets with the Toronto Maple Reefers at Blue
Jay games. Free tickets for the game and money for our charities are two of the
benefits.
• Donʼt forget – September 25th is the date for Parrotfest 2010!

Raffle
$35 was raised from the raffle. Paul South, and Lu-Ann Procter won the nightʼs raffle.
$165 was collected in membership fees. $130 in cash.
